Technical experts were required to maintain compliance and deliver the solution

The existing VMware-based infrastructure had reached end-of-life performance, compatibility, and commercial perspective, limiting its ability to support current and future software requirements.  To address this, the university set out to implement a future-ready Hyper-V based environment built on Microsoft Server 2025 Data Centre featuring a resilient 3-node cluster and upgraded virtual machines. The objective was to ensure scalability, strengthen security, and maintain full compliance with UK data protection standards, while delivering a seamless transition with no disruption to teaching, research, or student services.

The Colva Tech Solution

Colva Tech partnered with Aston University to deliver end-to-end project management, technical design and migration. The solution included the deployment of Microsoft Server 2025 Data Centre with a resilient 3-node cluster, upgrading virtual machines to support modern academic and enterprise applications, and ensuring a seamless transition from VMware to Microsoft with no service interruption. Cybersecurity enhancements were implemented with protect sensitive student and institutional data, while automated monitoring and patching were introduced for proactive performance management and ongoing compliance. 

The commercial challenge

The university faced significant commercial pressure resulting from increased VMware licensing costs, plus the need to modernise its IT infrastructure without impacting essential academic operations. The legacy VMware environment was no longer sufficient for growing demands, and remaining on  the existing platform was no longer commercially viable. A migration to Microsoft Server 2025 and a Hyper-V model was required to support advanced workloads and integrate with the latest enterprise applications. The challenge was to execute this transition within strict governance controls and academic calendar constraints, ensuring zero downtime for core services and maintaining compliance with UK data protection regulations.

The outcome

The project is progressing to plan on schedule, with key milestones achieved to ensure operational readiness. The new infrastructure delivers measurable improvements in scalability, security, and performance, supporting critical academic and administrative workloads. Compliance frameworks have been fully implemented to meet GDPR and industry standards, and proactive monitoring ensures long-term reliability. By modernising its IT environment, Aston University has reduced platform risk, improved cost efficiency and positioned itself for future growth and innovation in teaching and research.
